IT Document Analyst

The position

The position is responsible for maintenance and troubleshoot server systems and services, making sure they are secure, available, and follow industry best practices.

As a successful candidate, you should show good working knowledge of virtualization, Windows server technologies, and work experience with Microsoft Azure Services. Also, it will be managing and maintaining all technical documentation related to IT services, ensuring that service definitions, Service Level Agreements (SLAs), and configuration items are consistently updated, accurate, and accessible. This role involves close collaboration with technical teams to document processes, service standards, and system configurations, contributing to the efficient and reliable delivery of IT services across the organization.

The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. Responsibilities
  1. Maintain and support existing mission critical Microsoft Active Directory, Microsoft Exchange hybrid environment and Microsoft Hyper-V and cluster environment in production.
  2. Maintain and support in-house Identity Management System
  3. Handle day-to-day operations of existing on-premises and cloud-based systems, including;
    • Infrastructure Monitoring
    • Patch management
    • Backup and Restore
    • Handling tickets and user support
    • Troubleshooting
    • House keeping
  4. Work with infrastructure level 2 to resolve production incidents.
  5. Maintain and update technical documentation, including service definitions, SLAs, and configuration items, ensuring alignment with operational practices and policies.
  6. Collaborate with IT teams, including Institutional Applications and HelpDesk, to solve incident tickets.
  7. Create and update knowledge bases, technical manuals, user guides, and support documentation for internal and external stakeholders.
  8. Work with the Director of Institutional Applications & HelpDesk to ensure all documentation aligns with institutional policies and regulatory requirements.
  9. Support IT staff in understanding and using documentation, offering training where necessary.
  10. Collaborate with service providers and third-party vendors to manage documentation related to outsourced services.
Qualifications

(Required)

  1. 3+ years of solid working experience managing on-perm Microsoft Infrastructure environment including Active Directory and Hyper-V cluster.
  2. Solid working experience of managing physical hardware including physical server and SAN-based storage.
  3. Basic PowerShell scripting skills.
  4. Strong understanding of IT service management (ITSM) frameworks such as ITIL.
  5. Familiarity with Service Level Agreements (SLAs), service definitions, and configuration management.
  6. Interpersonal skills, with the ability to communicate professionally and effectively with various technical abilities in a multicultural, multilingual environment.
  7. Fluent English (TOEIC 700+ or an equivalent).

(Preferred)

  1. A degree in Computer Science, Information Technology, or a related field.
  2. Experience with administration of Microsoft Office365 including Exchange Online, SharePoint Online and others.
  3. Experience with administration of on-perm Microsoft Exchange.
  4. Experience with Azure AD/Entra ID, Azure Enterprise Application
  5. Experience with Intune and SCCM.
  6. Experience with Identity Management System
  7. Any Microsoft infrastructure certification and/or ITIL foundation certification
  8. Experience with Configuration Management Databases (CMDBs) and IT asset management.
Compensation and Benefits

Expected Annual Salary: 4,500,000 - 8,400,000 yen
*This amount represents the expected annual salary range for this position, which will be determined based on your experience and skills in accordance with the OIST Employee Compensation Regulations.

Full-time, fixed term appointment for 2 years. Contract initially with 6-month probationary period (inclusive). This contract may be renewed by taking into consideration the performance evaluation, conduct, and behavior of the Employee and OIST’s financial and other circumstances.
