HR & Tech Operations Associate

The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.

Project Management:
- Participate in HR-related projects from initiation to completion.
- Assist in developing project plans, timelines, and resource allocation in collaboration with stakeholders.
- Coordinate project activities, meetings, and communications to keep all stakeholders informed and engaged.
- Evaluate project results and identify opportunities for continuous improvement in HR operations and processes.
IT and AI Integration:
- Identify opportunities to incorporate IT solutions and AI processing to enhance HR operations and project management.
- Collaborate with IT teams to implement and maintain HR technologies and systems.
- Analyze HR data using AI tools to provide insights and support data-driven decision-making.
- Stay updated with the latest trends and advancements in HR technology and AI to propose innovative solutions.
HR Operations Management:
- Execute day-to-day HR operations, including but not limited to employee onboarding, offboarding, payroll processing, benefits administration, and employee data management (role assignment determined by experience and organizational demand).
- Ensure compliance with company policies, procedures, and regulatory requirements related to HR operations.
- Handle employee inquiries and provide assistance on HR-related matters.
- Collaborate with cross-functional teams to streamline HR processes and improve overall operational efficiency.
- Maintain accurate HR records and generate reports as needed for analysis and decision-making.
(Required)
- 3- 4 years of IT/ tech experience in corporate environment
- Background in computer science, information technology, or a related field.
- Experience in project management, including developing and executing project plans.
- Knowledge and experience in IT systems and AI applications, ideally in an HR context.
- Ability to analyze data and generate actionable insights using AI tools.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong analytical and problem-solving skills with attention to detail.
- Excellent communication and interpersonal skills with the ability to collaborate effectively across teams.
- Proficiency in MS Office Suite (particularly Excel, Word, and PowerPoint).
- Business-level Japanese and English with high communication skills.
(Preferred)
- Certification in HR (e.g., SHRM, HRCI) or project management (e.g., PMP, PRINCE2).
- Experience with HR software (e.g., HRIS, ATS).
- Experience in any area of HR related work, or has an strong interest in HR is welcome
Annual Salary Range 3,500,000 - 5,000,000 JPY
*This amount represents an annual salary range for this position, which will be determined based on your experience and skills in accordance with the OIST Employee Compensation Regulations.

Full-time, fixed term appointment for 2 years. Contract initially with 6-month probationary period (inclusive). This contract may be renewed.
Scheduled Working hours: 9:00 - 17:30
Break: 12:00 - 13:00
Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
