Academic Human Resources Staff

The position

We are looking for a new member of the Academic Human Resources to support our world-leading research activities.

Working closely with faculty and the Research Unit Administrator (RUA), this role will be responsible for a wide range of tasks in support of research activities, with a focus on supporting the recruitment process, contract management, and annual evaluation process.

About OIST

The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.

Responsibilities
  1. Support for the management of the research unit
    -    In collaboration with faculty members, propose the best responses and solutions to the needs and challenges of the research units.
    -    Build and maintain good relationships with faculty and Research Unit Administrators (RUAs), coordinating and assisting to optimize the research environment.
     
  2. Management of new recruitment procedures
    -    Facilitate hiring new research unit members in collaboration with faculty and Research Unit Administrators (RUAs).
    -    Support in setting salary amounts under the University's salary policy.
    -    Confirmation of documents required for new hiring and management of the approval process.
     
  3. Committee operation
    -    Arrangement for Research Staff Appointment Committee (RSAC).
    -    Prepare meeting materials, schedule meetings, and prepare meeting records.
     
  4. Contract management
    -    Contract execution and renewal management for faculty and research unit members.
    -    Contractual deadline management and proper record keeping.
     
  5. Support for annual evaluations
    -    Coordinate the annual evaluation process, and collection of evaluation-related data.
    -    Coordination of the entire evaluation process.
     
  6. Participation in Human Resource management projects
    -    Participate in projects that support Human Resource strategies, such as salary range review and career development.
    -    Contributing to business improvement and the creation of new systems.
Qualifications

(Required)

  1. Experience in coordinating and managing business operations.
  2. High communication skills and the ability to work smoothly with all parties involved.
  3. Ability to effectively manage, prioritize, and execute multiple tasks.
  4. Ability to work accurately and with attention to detail.
  5. Business-level Proficiency in Japanese and English. (written and spoken)
  6. Ability to manage data and prepare documents using MS Office. (in particular Excel and Word)
  7. Practical problem-solving Skills.
  8. Working Experience related to Human Resources.

  1. Experience related to the job description. (e.g., recruitment, Human Resources, contract management, etc.)

Compensation and Benefits

Expected Annual Salary: 3,900,000 - 7,300,000 yen
*This amount represents the expected annual salary range for this position, which will be determined based on your experience and skills in accordance with the OIST Employee Compensation Regulations.

Employment Term

Full-time, fixed term appointment for 2 years. Contract initially with 6-month probationary period (inclusive). This contract may be renewed by taking into consideration the performance evaluation, conduct, and behavior of the Employee and OIST’s financial and other circumstances.

Working Hours

Scheduled Working hours: 9:00 – 17:30
Rest period: 12:00 – 13:00
Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)

Holidays
Saturday, Sunday, National holidays, and Year-end and New Year holidays (Dec. 29 – Jan. 3)
