Business Development Administrator
We are looking for a proactive individual to provide administrative support for business development activities at OIST Innovation. Junior-level candidates with the drive to grow and learn are encouraged to apply.
This position is funded by the J-PEAKS Grant, which was approved by the Japan Society for the Promotion of Science (JSPS).
The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.
The university is located on 85 hectares of protected forestland overlooking a beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding. To facilitate multidisciplinary research, there are no academic departments. Outstanding resources and equipment are provided and managed to encourage easy access and collaboration.

You will play a key role in supporting OIST Innovation by managing various administrative tasks and helping foster collaborations between researchers, startups, and industry partners. Key responsibilities include:
- Supporting relationship-building efforts with external stakeholders such as industry members, government representatives, and innovation ecosystem partners.
- Handling administrative tasks related to contract management, external funding, including reporting, compliance with audits, and other requirements.
- Providing day-to-day administrative support, such as calendar management, travel arrangements, budget management, procurement of goods and services, expense settlement, and more.
- Managing events, including pre-event preparations, on-site operations, and post-event follow-ups in liaison with internal and external stakeholders.
- Delivering bilingual (Japanese-English) support for daily operations.
- Assisting in communicating OIST Innovation activities through social media, the website, and other media outlets.

- Effective organizational and prioritization skills with demonstrated accuracy and attention to detail.
- Proficiency in English and Japanese at a business level (both written and spoken).
- High degree of initiative and ability to self-start tasks independently.
- Proficiency in Microsoft Office tools (Excel, Word, PowerPoint, Outlook).
- Bachelor’s degree or equivalent practical experience.
(Preferred)
- Interest in working with startups and technology transfer.
- Experience in working with CRM system, including reporting and analysis.
- At least 1 year of work experience in a corporate or academic setting.

Expected Annual Salary: 3,000,000 - 6,500,000yen
*This amount represents the expected annual salary range for this position, which will be determined based on your experience and skills in accordance with the OIST Employee Compensation Regulations.

Full-time, fixed term appointment for 2 years. Contract initially with 6-month probationary period (inclusive). This contract may be renewed for up to 5 years from the date of initial appointment, taking into consideration the performance evaluation, conduct, and behavior of the Employee and OIST’s financial and other circumstances.
Scheduled Working hours: 9:00 - 17:30
Break: 12:00 - 13:00
Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
