ERP Project Manager

The position

OIST uses the SAP ERP system, facing the end of support by 2027.  It completed the process of planning to evaluate its options and chose to upgrade the system to R4 Hana. The ERP Project Manager will be leading this very challenging project, reporting to the Chief Information Office and managing a project team comprised of staff members who are assigned to the project on a full-time basis for the duration under the guidance and supervision of the Project Steering Board comprised on senior executives of the institution. 

The ERP project manager is responsible for the day-to-day management of the project encompasses management of the budget, staff, vendors, risk, quality, schedule, dependencies etc. 

The ERP Project Manager is expected to work closely with the ERP user community at OIST and the project steering board to ensure the upgraded ERP system is delivered on schedule and within budget.

Responsibilities
  1. Perform day-to-day management of the project team and external vendors to renew the ERP system of OIST on time and within budget.
  2. Develop and oversee the execution of the project plan, including scope, schedule, budget, resources, dependencies, communication plan, and status reporting.
  3. Work closely with the ERP stakeholders and the project steering board to manage/maintain the relationship and disseminate up-to-date project status and information.
  4. Ensure close coordination with the university`s organizational and administrative reform initiatives led by the Chief Transformation Officer. 
  5. Manage budget and other resources to ensure smooth execution of the project.
  6. Manage vendors who are involved in the project to ensure that they adhere to the agreed scope, quality, schedule, costs, and deliverables.  
  7. Proactively identify, evaluate, and mitigate risks associated with the delivery of the project in. a timely manner.   
  8. Set the standards and ensure the quality of the delivery of the new systems. 
  9. Oversee the organizational change management process.  Working closely with executives and the user community to plan and oversee the change management process, such as training, information sessions, etc. 
Qualifications

(Required)

  1. Bachelor’s degree in Finance, Accounting, Project Management, Information Technology Management, Business Management or equivalent.
  2. Professional certification in project management.
  3. Professional training/accreditation in ERP systems.
  4. Over ten years of working experience in implementing ERP systems, of which five years shall be spent as a project/program manager.
  5. Excellent problem-solving skills.
  6. Excellent organization and people skills to lead the project team and interact with international and diverse stakeholders.
  7. Experience working in a diverse and multicultural international environment.
  8. Fluent in English.

(Preferred)

  1. Working experience /knowledge of SAP R4 Hana, Ariba, Concur, and SuccessFactors.
  2. Experience working in public and academic institutions.
  3. Ability to communicate in Japanese.

Full-time project position, fixed term appointment for 3 years with 6-month probationary period (inclusive).
This contract may be renewed by taking into consideration the OIST`s requirements, employee`s performance evaluation, conduct, and behavior, and availability of budget and other circumstances.

Working Hours

Scheduled Working hours: 9:00 – 17:30
Rest period: 12:00 – 13:00

As this is a managerial role, the working days, working hours, and break time do not apply to general employees' prescribed working hours.

Holidays:
Saturday, Sunday, National holidays, and Year-end and New Year holidays (Dec. 29 – Jan. 3)

Leave:
Annual Paid Holidays, Summer Leave, Sick Leave, and Special Leave
